Forms

Use forms to collect structured information from website visitors.

For example, a service enquiry can ask for a name, email address, chosen service, and a short message. If you only need the website’s standard contact form, see Contact and its feature settings instead.

Note

Available when Forms is enabled.

Admin path: Content > Forms
Routes: /forms and /form/{id}

Create a form

  1. Select Add form.
  2. Enter the Title, which is required, and the Description.
  3. Add the fields in the order visitors should complete them.
  4. Configure the data handling and notification settings.
  5. Select Save, then Publish.

Write down the questions you need before adding fields. Each question should have a purpose and be understandable without a colleague explaining it. A short form is easier to complete, but do not omit information needed to handle the request.

The list shows each form’s state, a download button, the title, and the last update date. Unpublish on the form removes it from the public website but keeps it and its responses in the admin.

Add fields

The Fields box has an Add field toolbar below the last field. Its buttons add a field at the end. Each existing field also has its own toolbar: a button there inserts the new field above that field.

Choose the field for the answer you need:

FieldWhen to use itExample
SubtitleIntroduce a group of questions. It does not collect an answer.”Your contact details”
Short textA brief written answer.Name or organisation
Long textSeveral sentences.Description of the enquiry
EmailAn email address.Reply address
LinkA website address.Organisation’s website
PhoneA phone number.Contact number
CheckboxOne statement the visitor can check.Acknowledgement of an instruction
Single choiceOne answer from a list.Preferred venue
Multiple choiceSeveral answers from a list.Topics of interest
DateA date, with time if enabled.Requested visit date
NumberA numeric quantity.Number of attendees
AttachmentA file the visitor uploads.A document needed for the enquiry

A subtitle has a Group title and an optional Group description for a sentence that introduces the group.

Each input field has a Caption, a Hint, and a Required switch. Text fields can set length limits. Number fields can set minimum, maximum, and step values. Choice fields contain ordered options and may allow another value.

The caption is the question visitors see. The hint explains how to answer it. For example, use “Number of attendees” as the caption and “Include everyone in your group” as the hint.

Turn on Required only if you cannot handle the request without an answer. For a required checkbox, test that visitors understand what checking it means. Do not make every field required by default.

Text and number limits

Short text and Long text fields have Minimum length and Maximum length. They control how many characters an answer may contain. Keep a maximum large enough for a real answer. A minimum can reject a valid short name, so add one only when needed.

Number fields have Minimum value, Maximum value, and Step. For a count of people, a minimum of 1 and a step of 1 describe positive whole-number answers. The maximum should match the task. Do not use a Number field for a phone number, which may contain a plus sign or start with zero.

Choice options

Select Add option for each possible answer and arrange them in a useful order. Choose Single choice when visitors must pick one, and Multiple choice when several answers are allowed. Turn on Other option allowed only if you can handle responses outside the listed options.

Dates and attachments

Turn on Time as well as date on a Date field only when the exact time matters. Explain which local time visitors should use in the hint. For an Attachment field, say what document you need and avoid requesting private material without an approved process. Test the expected file with the website’s upload limits.

Ask only for information the task needs. Use the arrows to move fields into a logical order, and the delete control to remove unused fields.

Data handling and notifications

In the Data handling box, turn on Contains personal data whenever the form asks for personal information, such as a name, email address, or phone number. A Privacy policy file field then appears. Attach the current policy; the file is required while this option is on. Obtain the document from the person responsible for the organisation’s privacy information rather than writing substitute legal text in a field hint.

In the Notifications box, turn on Send notifications if staff should receive notices. Then select Add email address for each recipient. These are staff recipients, not the Email question visitors fill in.

❗
Important

Arrange a privacy review before collecting personal or sensitive information.

Put the form on a page

Publish the form, then add a Form section to a page with the Section editor.

Test a submission on the public website. Check validation, consent, notifications, and attachments.

Try submitting once with a required field empty to check the error, then complete a valid test submission. Confirm that staff receive any configured notification and that the response appears in the export. A published form still needs to be selected on a saved, publicly available page.

Download responses

To see a form’s responses, select Download responses, the download icon beside the form in the list. The admin saves an XLSX workbook named after the form and the current date, such as Venue enquiry-2026-10-21.xlsx.

  • The first column, Time, shows the date and time (hours and minutes) each response arrived. The newest response is first.
  • Each following column is one field, headed by its current caption.
  • Answers to fields you have since deleted appear in extra columns at the end.
  • An attachment answer shows the file name and links to the uploaded file.

Store exported responses according to the organisation’s retention and access rules.

If a notification does not arrive, check Send notifications, the recipient spelling, and the recipient’s spam folder. Download the results to see whether the response was stored. If the form is missing from the website, check both the form’s publication state and the page’s selected Form section.

⚠️
Warning

Before changing questions on a form already in use, download the existing responses and ask the form owner to review the change. If you reword a question, earlier answers appear under the new caption. Answers to a deleted question stay in the export, but old and new answers become harder to compare.
